It seems like there is always a lot of chatter about tools such as Office 365 and moving your business to The Cloud. Sometimes it makes sense, sometimes it doesn’t. The truth of the matter there are many solutions that are becoming available to businesses through the cloud that in the past would have been cost prohibitive. That is a WIN for Small Business Owners everywhere.
What is Office 365?
Office 365 is Microsoft’s platform giving users access to productivity tools and applications via the Internet. In the past, you had to purchase each Microsoft product separately as a one time purchase. These products can come bundled now in a monthly subscription.
Why Is It Important?
Security. This is a big one. At its core Microsoft 365 has data security built in. You have the compliance and security tools of Microsoft ensuring that your data is safe. You are able to control access enabling you to protect your data.
No More Mismatched Versions. It used to be half of your office had this version of word but other folks had a newer version. How many times did you run into an issue where someone was not able to open a document you sent because they were on a different version than you? This goes away with Office 365.
Email Solutions. For business, the best solution has always been Exchange. In the past, many businesses simply couldn’t afford the onsite mail server that was required for Exchange. Today, that is no longer the case. You have hosted email, with staggering storage capabilities. We all know that most of us do not clean out our inboxes well or often. You will not run out of storage space or get a call from a client telling you that your mailbox is full. One of the strongest tools here though is Encryption. You are able to encrypt your emails which is a huge bonus. By the way, encryption is not optional for those in the Medical field.
Time Management. Did I say Productive? Emails and Contacts are automatically synced across all your devices. Meetings scheduled in an email are automatically added to your calendar. The seamless ability to work on any device, anywhere, and pick up where you left off.
Disaster Planning. 25% of businesses shut down after a natural disaster or cyber attack. Office 365 has disaster planning built in. Your data is stored in the cloud and backed up to multiple locations. No matter what happens, your data will be accessible wherever you are.
Scalable. The beauty of Office 365 is that its costs are stable and you are able to scale your business up or down easily. You can fit Office 365 into your monthly budget, choosing the plan that is the right fit for your business today and can easily be changed to fit your business of tomorrow.
Microsoft offers 6 different options to choose from when it comes to Office 365.
The main difference between Business and Enterprise really boils down to the number of users within your organization. If you have more than 300 you will be looking at Enterprise. Less than that, you are looking at one of the Business editions. There are a lot of really great tools available in the different plans based on your individual business needs. You will have the power of tools like Skype, One Drive, and SharePoint to name a few.
